Swap Coordinator

Location: Stockbridge, GA
Department: Service Operations
Reports To: Operations Manager
 

Position Overview:

The Swap Coordinator plays a vital role in executing and managing the daily functions of our game swap operations. This role ensures that equipment swaps, removals, and relocations are completed on schedule, accurately documented, and meet United Gaming standards for customer satisfaction and operational integrity. The Swap Coordinator serves as a central liaison between the service, warehouse, and dispatch teams to ensure seamless communication and execution across all swap-related tasks.

Key Responsibilities:

Swap Scheduling & Coordination:
  • Coordinate daily and weekly swap schedules with field technicians, warehouse, and dispatch.
  • Confirm readiness of equipment for swaps, including validation of required parts and hardware.
  • Assign, monitor, and track swap tickets from initiation to completion.
Communication & Execution:
  • Maintain clear communication with internal departments to align swap timelines and resolve barriers.
  • Ensure all stakeholders are informed of pending or delayed swaps.
  • Serve as point-of-contact for field issues during swap execution.
Documentation & Quality Control:
  • Ensure accurate documentation of all swapped equipment including serial numbers, location, and configurations.
  • Track completed work orders for accuracy and follow-up on any exceptions or inconsistencies.
  • Validate that swapped games meet all functionality and compliance standards.
Performance & Reporting:
  • Monitor swap KPIs (response time, completion rate, errors).
  • Report weekly metrics and recommend improvements to leadership.
  • Assist in identifying recurring issues in swap processes and provide actionable insights.

Qualifications:

  • High school diploma or equivalent (Associate’s degree preferred).
  • 2+ years of experience in logistics, field operations, or equipment coordination.
  • Familiarity with COAM devices and swap procedures is a strong plus.
  • Excellent organizational and time management skills.
  • Detail-oriented with strong follow-through on assigned tasks.
  • Strong communication skills (both verbal and written).
  • Ability to work effectively with cross-functional teams.
  • Proficient with Microsoft Office and scheduling software (Slack, Synchroteam, Monday.com preferred).
  • Must be 21 years of age and pass a background check and drug screening.
  • Valid driver's license and clean MVR.

Schedule & Work Environment:

Full-time position, Monday–Friday with some evening or weekend support as needed.
Primarily office-based with occasional field visits or warehouse coordination.
Requires occasional lifting of lightweight equipment (up to 50 lbs).
