Executive Assistant
Atlanta, GA (100% onsite)
Job Status: Full-Time


Responsibilities:

  • Answer/screen phone calls, take messages, manage calendars and sort/distribute mail, which all may be highly confidential or sensitive.
  • Flexibility for after-hours availability on occasion.
  • Contact management, email screening, and email response.
  • Completion and submission of forms.
  • Make travel arrangements as needed.
  • Create and manage agendas and logistics for meetings and other functions for onsite and offsite events, including travel arrangements and notes compilation.
  • Prepare materials for meetings and compile special reports, expense reports, letters, and memos.
  • May track budgets/expenses and analyze expense reports.
  • Conduct a timely flow of information, obtain signatures and authorizations, and manage correspondence flow.
  • Track and manage special projects and ensure deadlines are met, which may require conducting research and making recommendations.
  • Professionally represent the leadership team through initial contact meetings or telephone conversations.
  • Serve as a helpful knowledge base for staff within the department, especially for process and procedures, and aid in a hands-on, proactive manner.
  • Support office space planning needs as growth occurs within the team and work closely with HR, hiring managers, and the facilities team to make necessary adjustments.
  • Continually improve processes and procedures to reduce work time and cost without compromising work quality.
  • Perform other duties as assigned.
 
Requirements:
  • Bachelor’s degree preferred.
  • Minimum 3 years’ experience as an assistant to VP level or above.
  • Excellent verbal and written communication skills.
  • Proactive and independent with the ability to take initiative.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Process-oriented, with attention to detail and ability to prioritize.
  • Ability to work in a fast-paced environment and independently on difficult projects with minimal supervision.
  • Ability to maintain a high degree of confidentiality/discretion.
  • Proficient with Microsoft Office Suite or related software.
